Working with Hyland Software and HP a Dream for DreamWorks

This short film isn’t about good conquering evil – unless that evil is a tedious, manual paper process. It’s about how DreamWorks turned a slow, process-heavy, manual contract management method into a fast and efficient contract management solution.
It’s a behind-the-scenes look at how DreamWorks works.
It stars HP, Hyland Software and our enterprise content management solution, OnBase. Together, the two companies stepped in to help DreamWorks vanquish its contract management and workflow challenges.
Innovative ECM Solutions
While DreamWorks is a digital animation innovator, always on the cutting edge of movie making technology, they didn’t have the same approach to their back office processes.
“Our contract management system didn’t’ integrate with any other system,” says Tom Seib, director, head of finance, Marketing and Consumer Products, says in the video. “We had a lot of manual processes and paper trails, essentially shuffling paper from person to person to person, from office to office to office.”
Each month, teams of DreamWorks employees review and approve more than 200 contracts through that manual process. Six-inch binders lined desks and spilled out of offices. Hammering out contract details and processing versions through approval sometimes took three months or longer.
Since contract management is vital to business, this was a big deal. . A smooth, efficient and fast contract management process can reduce a company’s administrative costs, provide better accountability and compliance, improve financial forecasting and, in many cases, ensure happier customers.
To move toward greater efficiency, DreamWorks enlisted both HP and Hyland Software to streamline its contract management process with a smart and strategic ECM solution.
The project leveraged OnBase and OnBase’s integration with Autonomy Intelligent Data Operating Layer (IDOL) server to improve the contract review and approval process, with HP’s MFP technology used as the capture mechanism.
The digitized workflow process cut a third of DreamWorks contract management business cycle time. Also important to note, since smart workflow solutions automate the complex routing of documents, tying together multiple systems, people and processes.
Done right, a strategic workflow solution is easy to configure and maintain, saving companies time and money by decreasing dependency on paper and manual processes.
And now – spoiler alert – the studio is now considering new ways to leverage the ECM solution across the enterprise, from accounting and purchasing to trademark and copyrights.
